Contracts Specialist

(full time, 5-10 years experience)

This position is a key member of the Meyer Administrative Team. As the contracts specialist, this person prepares and executes client contracts and subconsultant contracts, working closely with the EVP of Revenue and Strategy throughout the contract negotiation process. This role is responsible for managing the lifecycle of client and subconsultant contracts, ensuring compliance with internal policies, insurance requirements, and project scope in contract negotiations and execution. The ideal candidate will have a strong understanding of architectural contract terms, excellent communication skills, and the ability to thrive in a fast-paced, client-driven environment.

Key Responsibilities

  • Draft and review a wide range of contracts including client service agreements, NDAs, and subconsultant agreements.
  • Collaborate with Principals, Business Development, and external legal counsel to ensure contracts align with company objectives and risk tolerance.
  • Facilitate onboarding of subconsultants, including collection of required certificates of insurance, licenses, and compliance documents.
  • Maintain and manage a centralized contract repository and tracking system.
  • Monitor contract performance and compliance, including key dates, deliverables, and renewal terms.
  • Provide guidance on contractual rights and obligations to internal stakeholders.
  • Identify opportunities to improve contract processes and templates for efficiency and consistency.
  • Manage client portals for compliance.
  • Facilitate and manage AIA Contract Software Portal.
  • Maintain up-to-date knowledge of evolving AIA contract standards and industry best practices.
  • Assist leadership with claims, disputes, or contract-related issues that arise during project execution.
  • Track and document any deviations from contract scope that may impact fees or liability.

Qualifications

  • Bachelor’s degree in Business, Law, or a related field; JD or paralegal certification is a plus
  • 5+ years of experience in contract management, preferably within a professional services or consulting environment
  • Experience with AIA Contracts & Software
  • Strong understanding of contract law, risk management, and negotiation strategies
  • Proficiency in contract lifecycle management and tracking tools and Microsoft Office Suite
  • Excellent organizational, analytical, and interpersonal skills
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment
