Administrative Assistant

Reports to: Director of Employee Engagement

Position Summary The Administrative Assistant supports the smooth operation of Meyer’s office and employee engagement initiatives. This role ensures a welcoming, organized, and efficient workplace environment, assists leadership with administrative tasks, and provides support to staff as needed. The Administrative Assistant will work closely with the Director of Employee Engagement, the Director of Operations, and other senior leaders to maintain operational efficiency, support cultural initiatives, and uphold Meyer’s professional standards

Key Responsibilities

Administrative Support

  • Prepare agendas, schedules, minutes, and light presentations for meetings.
  • Manage select compliance records for architects via Harbor Compliance.
  • Provide administrative paperwork support, including assembling deliveries and overnight packages.

Office Operations

  • Maintain a clean, organized, and well-stocked office environment.
  • Order office, pantry, and cleaning supplies.
  • Restock public areas (e.g., copier paper, refrigerators, pantry, restrooms).
  • Straighten and reset spaces such as conference rooms and common areas.
  • Greet and welcome visitors, guests, and clients.
  • Coordinate maintenance and repairs with the Director of Operations, Property Manager, and/or vendors (e.g., plumbing, HVAC).
  • Collect and distribute mail.
  • Handle occasional phone and voicemail coverage.

Event & Engagement Support

  • Research, plan, and coordinate monthly employee engagement activities and events.
  • Assist in organizing firm-wide activities that enhance company culture.

Project & Staff Support

  • Provide non-design assistance to project teams, such as ordering lunches for client and team meetings.
  • Support design staff with administrative needs to help facilitate project requirements.
  • Support management team with administrative tasks, such as updating portals and scheduling.

Annual & Periodic Tasks

  • Assist in the annual purge and organization of company files.

Qualifications

  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Comfortable working both independently and collaboratively.

Physical Requirements

  • Ability to lift up to 15 pounds.
  • Ability to navigate stairs during daily activities.
